Records and Registration Statement of Commitment

The Office of Records & Registration's mission is to provide reliable and accurate management of all records, including but not limited to transcripts, change of grades, change of primary institution/change of majors, and state reports. Records & Registration seeks to provide the highest quality in customer service, continually improving web-based and electronic services, always within a student-centered environment. Ultimately, Records & Registration staff will strive to be responsive, professional, and sensitive to the needs of the diverse populations that St. Philip’s College increasingly serves to include Distance Education and Campus-based full-time and part-time students.

Commencement Ceremony (Graduation)

You must apply to graduate in order to be awarded a degree or certificate. There is no graduation fee. We will provide the diploma, cap, and gown.

College Catalog (Online and Archived)

St. Philip's College welcomes you to our Online Electronic Catalog (E-catalog). The Catalog provides detailed information about all aspects of the academic experience at St. Philip’s College. All references to “Alamo Colleges” in the Catalog are intended to be each of the Colleges in the Alamo Colleges family. The Schedule of Classes provides guidelines for applying to the College and links for registering for classes online.

Information from archived College catalogs, such as course descriptions for transfer credit or employment, can be accessed via the St. Philip’s College Office of Records and Registration (spc-records@dos5.net; 210-486-2284; Welcome Center, Room 203) or the Center for Learning Resources Archives Department (210-486-2583; Center for Learning Resources, Room 314B). Any requests for copies of catalog pages can be sent via e-mail or postal mail.

Transcripts

  • Official high school or college transcripts may be submitted in the original sealed envelope by mail OR using an encryption service provider (determined by the school), encryption service provider send an official transcript to spc-records@dos5.net
  • Home school transcripts must be notarized and sent by mail
  • Texas High Schools may use TREX
  • GED score reports sent by mail or email from the GED company, by using the college email  address (spc-records@dos5.net)
  • Foreign transcripts must be evaluated and translated from any company listed at the www.naces.org site. The original, official foreign transcript must accompany the evaluated document.

Transcripts are available to current and former students:

Request Your Transcripts Through ACES

Both current and former students can request transcripts online via ACES.

  • Current students can access web services at the top left corner of their ‘Student’ page.

 Within the ordering process, you will have the following options available:

  • Hold for Grades: your transcript will not be produced until the in-progress term has ended, and all grades are posted to your record.
  • Hold for Degree: your transcript will not be produced until the in-progress term has ended, and all grades with your degree award have been posted. This may be as many as 45 days after the end of the applicable term.
  • Include Attachments: you may include attachments to accompany your request if required by the recipient.

There is now a PDF option for sending your official transcript!

The PDF option applies specifically to:

  • an academic transcript (UG - undergraduate) for students with no academic credit completed before 1985.

The PDF option does not apply to:

  • Continuing Education (CE) transcripts
  • Undergraduate transcripts for students with academic credit prior to 1985

There is a minimum charge of $10.00, via credit or debit card, per transcript.

A $5 discount will be applied within the order when the PDF option is specified as the delivery method for those eligible requests.

Overnight delivery is available for an additional charge.

  • Correct name and billing address for the credit/debit card used
  • Year attended from & to
  • Birth Date
  • First name & Last name
  • Current address with city and state
  • Primary Email address
  • The primary reason for order (list to choose from)

Recipient:

  • Type (list to choose from)
  • Designated ‘Attention to’ or department
  • Physical address with city and state
  • Email (when PDF option is utilized)

Important Notes: 

If you need official transcripts for a third party, they must be sent directly to their email address.

  1. Transcripts are NOT printed on campus.  ALL transcripts are printed and mailed from an off-site location after a request is made.  For this reason, it is not possible to pick up a transcript in person on the same day as your request.

    Transcript request takes 3 to 5 business days to be processed when it is a printed transcript.  PDF requests for students with no holds and/or issues within their request are typically sent out within the hour of the order being processed.

    Please contact Credentials Solutions at 847-716-3005 if your request is not processed in 7 business days.  During peak transcript request periods, the processing time for your transcript may be longer.

  2. Students with a ‘transcript-hold’ will be able to request a transcript online, but until the hold is resolved, the transcript will not be sent out.

Please know that by submitting your transcript request through the link below, there may be a delay submitting your official authorization to Credentials Solutions for the release of your transcript.

There is no delay requesting your transcript through your logged-in ACES account.  If you need help retrieving your login information, please contact our helpdesk.
